How to Plan a Company Headshot Day Without Losing Your Mind
If you've ever been handed the task of coordinating headshots for your entire team, you already know the feeling. You're suddenly the person responsible for scheduling 20 people with 20 different calendars, answering wardrobe questions you didn't know you'd need to answer, and somehow making sure Nervous Gary from accounting doesn't look like he's being held against his will.
It's a lot. And it shouldn't be.
After years of photographing teams and organizations across Topeka and Northeast Kansas, I built a process specifically so that the person coordinating headshot day… usually an HR director or office manager who already has a full plate and luckily they don’t have to figure everything out from scratch. I call it The Show Up System, and the name says exactly what it is: your team shows up, and I handle the rest.
Here's how it actually works, and what you should look for from any photographer you hire for your team.
Before the Day: The Schedule Is Built for You
The biggest source of stress on headshot day isn't the photography. It's the scheduling. Who goes first? How long does each person need? What happens if someone's running late?
When we work together, I help you build a simple, realistic schedule before we ever show up. Each person gets a specific time slot, usually about five minutes each, so nobody's standing around wondering what to do and there's no bottleneck. You send the schedule to your team, and they show up at their time. That's it.
I also send your team a preparation guide ahead of time so I'm not the tenth person that week answering the same wardrobe questions. Neutrals, minimal patterns, layers that add texture. Try your outfit on before the day, because the blazer that fit three years ago might not fit today, and better to know that Tuesday than to find out on headshot day.
On the Day: A Full Studio Comes to You
Most photographers show up with a camera. I show up with a system.
That means a full mobile studio setup … professional backdrop, lighting equipment, everything needed to produce consistent, polished images regardless of what your office looks like. We typically set up in a conference room or open space, but if your environment itself is part of your brand, we can work with that too.
The lighting comes with us because consistency is the point. When you hire a new employee six months from now, you want their headshot to match everyone else's. I keep your lighting setup on file so we can reproduce it exactly — no patchwork team pages where one person looks like they were photographed in 2019 and another looks like a completely different company.
Each employee comes in, gets quick coaching on where to stand and how to position themselves, and we move through the session efficiently. Most people are done in about five minutes. Nobody's stiff. Nobody's left wondering how their photos turned out. Before they walk away, they see their favorites and make their picks right there on the spot. No chasing people down for approvals later.
The Details That Make a Difference
This is where most photographers stop and most HR managers get frustrated.
Every image I deliver is framed to give your design team options. Horizontal framing that crops cleanly both vertically and horizontally. No heads cut off, no shoulders lost at the edge …because your marketing team shouldn't have to request re-shoots because the photo doesn't work on your website.
Files are named by employee from the start. Not DSC04821.jpg. Not a folder of 200 images you have to sort through. Every file is organized so whoever manages your website, your LinkedIn company page, or your email signatures can find exactly who they need in seconds.
I also include a PNG of every person — already cut out — so your team can be dropped onto any background without extra editing work on your end. When you're updating your website or building out a new pitch deck and you need Sarah on a white background instead of the studio backdrop, you already have it.
After the Day: Files Delivered and Done
Photos are delivered through a simple online gallery, organized by employee, with professional retouching applied. We polish, we don't change. The goal is your team at their best, not your team looking like completely different people.
And if someone missed the session, or if you have new hires coming on in the fall, you have options. My Holton studio is available for individual makeup sessions. Or we can schedule a return visit to your office and do a quick round for whoever needs it. Either way, I keep your setup on file so new photos blend seamlessly with the rest of your team.
What to Look for When Hiring a Team Headshot Photographer in Topeka
Not every photographer who offers headshots has experience with the logistics of a team session. Here's what to ask:
Do you build the schedule, or do we? A photographer with a real system handles this for you.
Do you travel to our location? For most teams, bringing the photographer to the office is far less disruptive than pulling everyone away.
How are files organized and delivered? If the answer is "a gallery link," ask specifically how the files are named and whether retouching is included.
Can you match future sessions to today's photos? Consistency over time is what separates a system from a one-time shoot.
How long per person? Five to seven minutes per person is realistic and efficient. Much shorter and quality suffers. Much longer and you've lost the afternoon.
